One of the first steps in auction item procurement is getting inspired. According to our survey, the vast majority of nonprofits (89%) tend to follow what has worked for them in the past. This traditional approach provides a sense of security, but it’s worth noting that many organizations (68%) are also leveraging online resources—such as social media and blogs—for fresh ideas. Additionally, 57% look to other organizations for inspiration, and 26% explore consignment package offerings to diversify their auction items.

However, 47% of nonprofits admitted they “take what they can get” when it comes to donations, suggesting there’s room for more proactive and strategic approaches.

Who Handles Auction Item Procurement?

When it comes to assigning the task of procuring auction items, many nonprofits rely on multiple team members. Our survey found that internal employees (12%) and Volunteers (37%) are the most commonly involved in this critical task.

This wide range of roles underscores the importance of having a dedicated team—whether it’s a single individual or a collaborative group—focused on securing valuable auction items.

When Should You Begin Auction Item Procurement?

Timing is everything in auction item procurement. Our survey revealed that most nonprofits begin outreach well in advance of their events, with 39% starting 4-5 months before their auction. Another 38% begin 6+ months out, while 22% wait until 2-3 months before the event.

Interestingly, only a small percentage of nonprofits (1%) leave outreach to the last minute, starting just a month or less before their event. Early outreach can help secure better items and create a more robust auction experience for your donors.

Who To Reach Out To for Auction Items?

Nonprofits have a variety of go-to sources when it comes to securing auction items. Local businesses top the list, with 96% of respondents reaching out to these community partners for donations. Past item donors are another important resource, utilized by 95% of nonprofits.

Other key sources include board members or VIP supporters (78%), large corporations (56%), and consignment companies (29%). This mix of connections allows nonprofits to gather a diverse range of auction items, from unique experiences to high-value products.

What Types of Auction Items Are Most Successful?

Our survey highlighted several auction item categories that consistently perform well. Unique experiences, such as trips or behind-the-scenes tours, are a top choice for 36% of nonprofits. Restaurant and food packages (18%), wine and alcohol (11%), and travel (10%) also generate high interest among bidders.

While sports events and memorabilia (8%), local attractions (8%), art (1%), and jewelry (1%) tend to be less common, they still hold value depending on your audience and event theme.

Ideal Auction Item Numbers

Striking the right balance between too many and too few items is crucial for both live and silent auctions. For live auctions, most nonprofits (46%) aim for a manageable number of 4-10 items, with 21% focusing on just 4-6 items. Silent or online auctions tend to be more expansive, with 46% of organizations featuring between 21 and 60 items.
